Paperbell does not have a standalone mobile app; that’s because we think the site looks and works great in your mobile browser!

You can bookmark your coach site login or the client portal login in whichever mobile browser you use on your phone or tablet.

You can also create a shortcut on your phone to add to your phone’s Home Screen and just tap to get to Paperbell, like you would with an app.

iPhone

Safari:

  • Go to the Safari app on your iPhone.
  • Go to https://app.paperbell.com/provider or https://PaperbellClient.com/
  • Tap the Share button in the menu bar.
  • Scroll down the list of options, then tap Add to Home Screen.
  • If you don’t see Add to Home Screen, you can add it. Scroll down to the bottom of the list, tap Edit Actions, then tap Add to Home Screen.
  • The icon appears only on the device where you add it.

Firefox:

  • Launch Firefox on your iOS device.
  • Go to https://app.paperbell.com/provider or https://PaperbellClient.com/
  • Once Paperbell loads, look for the share icon in the address bar.
  • In the share menu, you will see various options for sharing and saving the website. Tap Add to Home Screen.
  • A dialog box will appear, displaying the website’s title and a suggested name for the shortcut. You can change the name of the shortcut from this panel.
  • Tap Add in the top right corner.
  • The shortcut will now appear in your home screen.

Chrome:

Android

Firefox:

  • Open Firefox for Android.
  • Go to https://app.paperbell.com/provider or https://PaperbellClient.com/
  • Tap the Menu button
  • Tap Add to shortcuts.
  • Your shortcut should now appear on your Firefox home screen.

Chrome:

  • On your Android device, open Chrome.
  • Go to https://app.paperbell.com/provider or https://PaperbellClient.com/
  • To the right of the address bar, tap More.
  • Tap Add to home screen and Create shortcut.
  • In the Rename dialog box: Select the default name for the shortcut or rename the shortcut.
  • Tap Add.

Edge:

  • Open the Microsoft Edge browser.

  • Tap the menu icon (usually three dots) in the top right corner.

Does Paperbell offer a free plan or free trial?

Yes!

Our free preview accounts include all functionality so that you can see exactly what Paperbell is like, no credit card required. You’ll have 7 days with full functionality. After that, your Paperbell site will be disabled until you choose a paid plan.

Will I automatically be charged after the 7 days?

No. Paperbell does not collect any payment information from you as a part of the free trial, so we can only charge you when you proactively choose to sign up for a paid account and enter your credit card details.

Does the free 7 days include all features?

Almost! Free plans do not allow you to send messages or SMS notifications to your clients. Everything else is included.

What happens after the 7 days are up?

After your 7-day preview ends, your Paperbell site will no longer be live. However, you’ll still have full access to your Paperbell account to create packages, tweak your site, and get set up.

This allows you to spend as much time as you like getting set up with no time pressure. Once you’re ready to launch your site to the world, simply go the “plan” section in your account and choose a paid plan.

Have you decided it’s more convenient to pay for Paperbell monthly rather than on our discounted annual plan? No problem!

Hop over to your Plan page and click where it says “Manage your plan, billing, and payment info.”

On the next page, you’ll see your payment method and past invoices.

Click the button that says “Update plan.”

You’ll then be guided through the steps to change your plan.

You will be charged for your new plan right away. If there’s any balance left from your old subscription plan, it will apply to the new charge.

What happens when I switch from an annual subscription to the monthly plan?

You’ll be charged the monthly fee right away, prorated for whatever amount is left of your annual payment.

That means if you switch before your annual subscription is due to renew, you’ll get money back for that unused time in the form of a discount off your monthly payment.

Nothing else changes. You’ll still have full access to your lovely unlimited Paperbell account!

How do I switch from a monthly to annual plan?

Go to your Plan page and click where it says “Switch now”:

If you want to use the card on file for this charge, simply click the “Confirm payment.”

If you want to change the card on file first, from your Plan page, click where it says “Manage your plan, billing, and payment info.”

On the next page, you’ll see your current subscription and the card details. Click the little icon next to the last 4 digits of the current card to make your changes.

You can also scroll down to add new payment and billing details.

Then just click the button that says “Update plan” and follow the instructions to change your plan!

You will be charged for your new plan right away. If there’s any balance left from your old subscription plan, it will apply to the new charge.

Send appointment reminders to your clients via SMS or text message, either 1 day or 1 hour in advance (or both!). This works for both 1-1 and group sessions.

How do I set up SMS reminders?

Coaches toggle on this option in their notification settings.

But your CLIENTS MUST OPT IN to receive SMS/text reminders of their sessions. We are not in the business of spamming your beloved clients! So we need their permission to send them text messages. 😇

How do clients opt in to receive SMS reminders?

So glad you asked. First, clients will log in to the Client Portal to add and verify their number.

To do this, they’ll go to Settings and add their phone number. They will see a bar at the top of the page with a link to click for a verification code.

Your client clicks Send code, enters the code in the box, and clicks the Verify button.

After that, they tick the box to agree to receive SMS reminders.

Can I verify and opt in to SMS reminders FOR my client?

Nope! They need to do this themselves. But you can absolutely coach them through it with these instructions.

How will I know my client has opted-in for text notifications?

Paperbell shows you! The client’s profile shows whether your client has verified their number and opted in to these reminders (feel free to send them instructions).

Here’s how it looks if they haven’t opted in/verified their number:

And, if they have verified their number and opted in to SMS reminders, here’s what you’ll see:

Can my client opt out of these reminders?

Yep! A client replies “STOP” to a reminder to no longer receive them.

If a client wants to opt back in, they can reply “START.” 🚦

What do the reminders say?

Never thought you’d ask! *clears throat*

The 1 hour before appointment reminder:

Appointment reminder: [Package name] with [Coach name] is coming up today at [Appointment time]

The 1 day before appointment reminder:

Appointment reminder: [Package name] with [Coach name] is coming up tomorrow at [Appointment time]

Can I change the content or timing of SMS reminders?

Nope — these reminders are super simple, set-it-and-forget-it.

Though if you’d like to say more pre-appointment, you can totally do that with automated emails.

Can I check if my client was sent an SMS reminder?

You bet. Find it in the Message Log, the same place you can see what emails they’ve received:

What about my clients in other countries – can they get SMS reminders?

That depends on the country! Because of technical limitations we can’t offer SMS reminders to clients everywhere.

First, are you doing a couples or family session? If so, read our article on setting that up here.

Here’s how to navigate situations where one party receives coaching (appointments, content, etc.) and a different party pays for the coaching.

Maybe you’re working in a business setting where a company or organization is covering the coaching. Maybe a parent is paying for a teen to be coached, or a mentor is gifting a coaching package to a mentee.

In this situation, you’ll need to create TWO packages: the coaching package and the payment package.

The payment package is just for the payer without any appointments attached. To do this, disable appointments in the payment package.

This package is only for the payer, so don’t include any communication or content intended for the person being coached.

The coaching package is for the person being coached. Here’s how to create a package if you’d like to make a new one, and set the price to zero.

If you’d rather use an existing package, either create a 100% off coupon code for the coaching recipient to use or gift them the package.

Note: a gifted package will not include the contract-signing step. If you need your client to sign a contract, use the coupon code method instead.

No matter which option you choose, be sure to wait until payment for the “payment package” has processed!

You probably know that your clients can self-schedule using Paperbell.

But did you know that you can also schedule for them?

Here’s why you might find this useful.

When you schedule in Paperbell, everything is kept up-to-date in the system, like the number of remaining appointments. This is why you always want to schedule inside Paperbell!

Here are a few situations where we’ve found it’s really useful to handle the booking yourself:

👉 You’re at the end of a coaching call and your client mentions they’d like to chat again soon – just pull up your Paperbell booking calendar and get it on the calendar

👉 Your client is uncomfortable with tech and struggling with self-booking. No problem, just handle it for them!

👉 You want to offer a “VIP slot” that isn’t available on your normal booking calendar. When you book yourself you aren’t limited to your standard Paperbell availability.

👉 You text your client and ask if they can start an hour later than you had planned – just change the booking in Paperbell so that it’s up-to-date for everyone

👉 You want to allow your client to book last-minute, but usually you require a 24-hour notice so they are blocked from self-booking. It’s OK, just schedule it for them.

👉 You have a specific but tricky cadence, like client calls every three weeks. Just put it on the calendar for them to make sure the timing is perfecto!

How to Schedule for Your Client

As far as the how, the first step is to make sure they’re added as a client to your account. If they’re not already a client (by purchasing a package, for example), here’s how you can add them.

Once the client is added to your account, they will need a package in order to have sessions to book!

You can send them the link to a package so they can purchase it. Or, if they’re paying outside of Paperbell, you can gift them a package.

Once they have appointments available to book, click on your Appointments tab and click the +Book appointment button.

Or, click your Clients tab, then your client’s name. On their page, click the +Book appointment button.

When you book for your clients, they’ll receive an invite with a Zoom link (or whatever you have set up), just as they do when they book for themselves. 🙂

Paperbell does not have a “maximum appointments per day” setting.

BUT we do have a workaround that will let you achieve that. Paperbell has an appointment gap feature that automatically puts a buffer between appointments. It’s meant to be used to have (for example) a 10 minute break between appointments.

As a workaround, you can put a very large gap which would push the next appointment to the next day. For example, if a client books at 11am but you have a 6 hour gap, that gap would “take up” the rest of the afternoon so that it can’t be booked.

Add additional email addresses to a client profile

If you only need one profile for the couple/family, one person can be designated as the “client,” and you (or the client) can add additional email addresses to their profile.

Those email addresses will receive all the emails that go to the client’s main email address.

Here’s the field you’ll look for to add those addresses:

If you would like each client in the company/family/couple to have a separate client profile, you can do that too.

Here’s how you’ll go about creating a special package for them:

1. Create a free intro package for couples/groups

This is just to let potential clients know that you offer family or couple (etc.) coaching. One person in their party will purchase (for free) this package.

This package can include a brief 1-1 session in which you find out the basics of their setup. Or, you can simply include a purchase survey and no 1-1 session.

The survey should ask what type of coaching they’re looking for (couple/family/business), the email addresses of all clients, if they’d like to have one person purchase, or split the payment, and potential meeting times.

Once you have that info, you’ll create an invite-only package for this couple or group.

2. Create an invite-only group package

The group in this case are all the client in the session, even if it’s only two people for couples counseling. This will allow multiple email addresses to be invited to the same appointment.

Don’t forget to toggle off 1-1 sessions in the Appointment details, since you will be adding the group sessions to this package.

Pricing can be for the entire package (so one client will pay for the whole thing); or, the price can be per seat, so each client pays for half of the package.

3. Send each client a link to their package, and a coupon code for any non-paying clients to use

If one person will pay for the package (you’ll need to clarify with your client which email is the “payer” account), everyone else will access the group package for free.

Simply share a coupon code with everyone else that covers 100% of the package price, and no payment details will be asked for in checkout.

Or, if both clients should pay, you can give each client a 50% off coupon to use at checkout.

If each client must sign a contract, it’s essential that they go through the checkout process (even if they pay $0).

If there’s no contract, one client can purchase the package, and you can gift the package to the other clients.

3. Add group sessions to the package

As the coach, you must schedule group sessions. You may want to message your clients for input on a good date/time to meet. They can also look at your other package schedules to get a sense of your availability.

Once you schedule the group sessions in that package, all the clients in the package will automatically be invited to those events, with the same meeting link.
