Ever had a client just… not show up for their session?

It’s frustrating, it wastes your time, and honestly? It’s usually preventable.

Here’s the secret: automated appointment reminders.

Set them up once per package, and Paperbell automatically reminds every client about their upcoming sessions. No more manual texts, no more no-shows.

Here’s how to set them up:

  1. Open any package
  2. Click “Emails” tab
  3. Click “Add an email”
  4. Choose “Before appointment” and set it to 24 hours
  5. Write your message or use our template
  6. Save!

Pro tip: Set up two reminders – one at 24 hours and another at 1 hour before. The double tap practically guarantees they’ll remember!

Quick but awesome update for you today!

You know those handy smart fields like {client_first_name} and {appointment_datetime} that you use to personalize your automated emails?

Well, they just got even MORE useful! 🎉

Smart fields now work in your email subject lines too!

This means you can create subject lines like:

  • “{client_first_name}, your session is tomorrow”
  • “Upcoming appointment: {appointment_datetime}”
  • “Thanks for booking {package_name}, {client_first_name}”

Before, smart fields only worked in the body of your emails. Now they work everywhere, making your automated messages feel even more personal and professional.

Personalized subject lines can really help to get your emails opened. When clients see their own name or specific appointment details in the subject line, they’re way more likely to actually open and read your email.

Where to set this up: Just head to any of your automated emails (in your package settings) and add smart fields to both the subject line AND the email body. Super easy!

Also, we’ve added a new one: {your_site_link}!

This smart field automatically inserts your Paperbell site URL into any email. Perfect for when you want to:

• Remind clients where to find your other coaching packages
• Point them back to your site to book additional sessions
• Include your site link in email signatures
• Share your site when following up after discovery calls

Here’s how it works:

Just add {your_site_link} anywhere in your automated emails, and Paperbell will automatically replace it with your actual site URL (like paperbell.me/yourname).

So instead of typing out your full URL every time, you can write something like:

“Thanks for our session today! If you’re ready to dive deeper, check out my other coaching packages at {your_site_link}”

Where to find it:

Head to any package → Emails tab → look for the smart field hints below the text box. You’ll see {your_site_link} listed right alongside {client_first_name}, {appointment_datetime}, and all your other time-saving smart fields!

Your clients can now have multiple email addresses on their account! 🎉

That’s right – each client can now add up to 4 email addresses, and ALL of those emails will receive:

  • Appointment confirmations and reminders
  • All automated emails from their packages
  • Calendar invites for both 1:1 and group sessions

Here’s how it works:

When you’re editing a client’s info (or when they’re updating their own profile), there’s now a new field called “Additional Emails” right below their main email address. Just add the extra emails separated by commas, and boom – everyone stays in the loop!

Can the client add these themselves? Yep! They can add additional emails from their client portal at PaperbellClient.com, or you can add them when you’re updating their info.

Will this mess up my existing client records? Not at all! This is purely additive – existing clients keep working exactly the same, they just have the option to add more emails if they want.

Do all the emails get the same messages? Yes! The additional emails are CC’d on everything the main email receives, and they’re all added to calendar invites.

So next time a client says “Can you make sure my husband gets these emails too?” you can just say “Absolutely!”

Here’s what I’ve been hearing from our coaches lately . . .

Some of you LOVE having your Paperbell calendars synced up with everything, and others would rather just keep things simple and just use Paperbell as their own calendar. 

Great news: now you can do EITHER!

Here’s what’s new with calendar integrations:

We’ve always had rock-solid two-way syncing with Google Calendar, Microsoft Outlook, and Apple iCal. But now we’re adding a fourth option that might just blow your mind…

Option 4: No external calendar at all! 🤯

Yep, you read that right. You can now use Paperbell as your complete scheduling solution without connecting any outside calendar. Your Paperbell calendar becomes your ONE source of truth for all your coaching appointments.

So what’s right for YOU?

If you don’t currently use another calendar (like iCal or Google Calendar), no reason to start! Your coaching appointments live happily in Paperbell, and that’s it. 

If you would be lost without your google cal (I’m in this camp!): Connect your main calendar so that Paperbell always checks your availability before letting clients book. This prevents those awkward “oops, I’m actually at my kid’s soccer game” moments!

What if I change my mind later? No worries! You can connect or disconnect your calendar anytime. We’re flexible like that 😊

Will my clients see any difference? Nope! They’ll still get beautiful calendar invites and reminders regardless of which option you choose.

Do I lose anything by not connecting a calendar? The main thing you lose is automatic conflict-checking. But if you don’t have appointments on another calendar, you might not need that!
