What is Paperbell?

Paperbell is an online software tool used by coaches and consultants to manage scheduling, payments, contracts, and other business admin. You’re seeing it because the coach you’re working with uses Paperbell to manage their sessions.

How does the process work?

The provider you’re working with sends you a link to book or purchase a package via Paperbell. The checkout process could include various elements like appointment scheduling, contract signing, payments, or surveys depending on what the provider has included. Make sure you fully complete the checkout process in order to secure your appointment.

How do I find my Paperbell login?

https://PaperbellClient.com

If you have already purchased a package via Paperbell, you have automatic access to your client portal.

Bookmark PaperbellClient.com. You’ll log in there (with a one-time use password Paperbell sends you) to access your account and book all your sessions.

You’ll also see a Client login at the top of your coach’s Paperbell site:

Appointments

Your Appointments page contains a list of all upcoming and past appointments.

To book remaining sessions in your package, click the Book Appointment button.

Packages

This page contains a list of all your packages, the number of appointments you have left to book in your packages, and if a subscription or payment plan package is active, canceled, or expired.

Click on the name of a package to see the full details.

Content

This page contains any files or links associated with your package.

You’ll see the content name, type, associated package, and a button to click to download, visit, or watch the item.

You will also see any content that has been shared just with you on this page, labeled “Private.”

Click the Upload Content button to share items with your coach.

Click the “Uploads” button to see what you’ve shared.

Surveys

Click on this tab to see all the available surveys connected to your package(s).

Click on a survey to fill it out, or to add or change your answers.

Website

You want to purchase another package from your coach: Hooray! Click on the Website tab to get to their packages.

Settings

Click the circle in the top right corner to get to your Settings. Go here to update your email address, phone number, time zone, and profile pic.

SMS Notifications

Add your phone number on your Settings page to receive SMS reminders before appointments.

You will need to add and verify your phone number — look for the bar at the top of the page and click Send code

Enter the code you receive at that number and click Verify.

Once your number is verified, tick the box to receive SMS reminders before appointments.

If you want to unsubscribe from these texts, just reply “STOP” to a reminder. 🛑

Frequently Asked Questions

Can I book a time and then pay later?

No, if you’re attempting to purchase a paid package your appointment will not be secured until you’ve completed checkout including payment.

Will I be automatically billed for my subscription or payment plan?

Yes, if you have purchased a subscription or payment plan the payment will be charged to your card each month automatically. Look for a receipt from Stripe.

How can I change my credit card?

To change the credit card being billed for future payments, go to the Packages page and click on the name of the package you want to modify the credit card for. You will see an option to do so.

How do I cancel my subscription?

Go to the Package page and click on the name of the subscription package you want to cancel to find cancellation options.

How do I cancel my payment plan?

Payment plans are an agreement to pay the entire amount and cannot be self-cancelled until the plan is complete. Reach out to your provider to discuss your situation.

How do I get a refund for the package I bought?

Contact your provider to ask about their refund policy.

How do I schedule the sessions I have purchased?

If you have purchased a package with multiple sessions you can book them upfront or over time.

Log in to https://PaperbellClient.com/

Go to Appointments and click the Book Appointment button in the top-right corner, which will only appear if you have unused sessions to book.

How do I purchase another package from the same coach?

Look for the the Website tab at the top of the page when you log in to the Client Portal.

Click that, and you’ll be taken to your coach’s website, where you can purchase their packages.

How do I cancel or reschedule my appointment?

Log in to https://PaperbellClient.com/

Head to Appointments and click “View” for that appointment.

On the next screen, you’ll see buttons to Reschedule and Delete Appointment.

If it is 24 hours or less before your scheduled appointment, you cannot cancel or reschedule the appointment. Contact your coach for them to cancel or reschedule the session from their end.

How do I change or fill in my survey answers?

Go to Packages, click the name of the package, and find the survey you’re looking for. Once you click the survey, scroll all the way to the bottom to find a “Modify answers” button.

How can I share a file with my coach?

Log in to https://PaperbellClient.com/ and go to the Content tab.

Click the Upload Content button, and follow directions to upload or share your link.

Your coach will be notified that you’ve shared something with them.

You can see what you’ve shared with your coach from the Uploads tab.

What will Paperbell look like for my clients?

Paperbell puts the entire client experience in one place. This means that paying for the package, scheduling sessions, answering surveys and delivering information or additional resources is all done inside Paperbell. (So all of those things are actually tied together! Hooray!)

Here’s a step-by-step breakdown:

1. Your client clicks a link from your website, email, or social media and lands on your Paperbell homepage or package landing page:

(In this example, you’d link your Paperbell website or individual package landing or booking page in the ‘Learn More’ button. Here’s how to do that.)

2. The client goes to your homepage or package page and learns everything about your packages (Here’s an example site)

3. The client schedules their session or sessions. If it’s a multi-session package your client can book all of the sessions upfront or log in later to book more sessions

4. The client buys your package using a credit card or PayPal

All packages are paid upfront; subscriptions are automatically charged monthly until you or your client cancels.

You can also create installment plans with one payment up-front followed by a set amount of additional payments monthly.

(Or create free packages and the payment screen will be skipped entirely.)

5. If you have a contract, the client signs the contract

6. If you have a survey, the client fills out your survey

7. The client receives emails with all of the information they need

With Paperbell you can automatically schedule an email to go out when a package is purchased, before a session and after a session. This is where you can include any extras like resource access, downloads, links to any groups or forums, etc.

So, your client will receive an email confirmation of their package purchase. If you’d like, you can also choose to have Paperbell send an appointment confirmation email with their meeting link and session details. You can check that option here.

Clients will also receive a calendar invite from the calendar you’ve connected to Paperbell. This invitation will include your meeting link.

What if my client doesn’t use the same calendar I do?

Not a problem!

  • When the calendar event invitation arrives, your client can click on the attachment that comes with the email, it’s called invite.ics
  • When the invite.ics file is opened it will add the appointment to any calendar – Apple Calendar, Outlook, Google calendar, etc.

8. The client can log back into their Paperbell client portal anytime

Your client has 24/7 access to their client portal, https://PaperbellClient.com/, where they can

  • Make new appointments
  • View or change existing appointments
  • See a complete history of appointments and purchases
  • Review their survey answers or answer surveys
  • Download signed contracts
  • Access any downloads
